Time Isn’t the Problem

In 2021, my calendar at Microsoft looked… full, but manageable.

I wasn’t overbooked.
I had space between meetings.
I had even started blocking “focus time.”

From the outside, it looked like I finally figured it out.

But by mid-afternoon most days…
I felt done.

Not overly tired.
Just… slow. Foggy. Disconnected.

I would open my laptop to do something simple,
and just sit there for a few seconds longer than usual.

Like my brain needed a moment to catch up.

I remember thinking,
“Why does this feel so heavy when my schedule isn’t even that packed?”

That was the part I couldn’t explain.

Because it didn’t look like a time problem.

WHAT

We’ve been taught to manage our time.

Plan better.
Schedule better.
Optimize every hour.

But no one teaches you this:

You don’t just use time.
You use energy inside that time.

Every meeting.
Every decision.
Every context switch.

It all takes something from you.

And when that “something” runs low…
Even simple things start to feel hard.

WHY

Because your capacity isn’t unlimited.

It gets impacted by things you don’t always see:

• Switching between tasks too fast
• Back-to-back meetings with no pause
• Always being “on” and available
• Carrying stress between moments

Your mind doesn’t reset just because the meeting ends.

Your body doesn’t reset just because the calendar moves on.

So by the time you sit down to do the work that matters…

You’re not starting fresh.

You’re starting drained.

That’s why you can’t think clearly.
That’s why decisions feel heavier.
That’s why your confidence dips for no reason.

It’s not because you’re doing it wrong.

You’re just running on low capacity.

HOW

Start here.

Not with better planning.
With better awareness.

Notice your transitions.

Don’t jump from one thing to the next.
Even a short pause helps.

30 seconds.
One breath.
Close your eyes.
Let your body catch up.

Build small resets into your day:

• Step away between calls
• Sit in silence for a minute
• Take a slow breath before switching tasks

It sounds simple.

Because it is.

But this is what rebuilds capacity.

This is what brings your clarity back.

Not more effort.

Just more space.

Pause for a moment and think about your day.

Not your schedule.
How it actually feels to move through it.

Where do you start to slow down?
Where does your energy quietly drop?

That’s the place to pay attention to.

Because when your capacity is supported…
you don’t have to push the same way.

Things land faster.
Decisions feel clearer.
You feel more like yourself again.
